Community Volunteer and Events Coordinator The Community Volunteer and Events Coordinator reports to the Chief Development Officer (CDO) and is an integrated member of the Development Department with the objective to support the mission of Big Bend Cares and Care Point Health & Wellness. In conjunction with the CDO, the Community Development Volunteer and Events Coordinator is responsible for volunteer recruitment, orientation, project planning, implementation, and supervision of volunteer activities; and, with the assistance of the CDO, coordination of events. In addition to the daily maintenance of the volunteer program, the Community Development Volunteer and Events Coordinator will work closely with the CDO to coordinate fundraising events. The position requires a clear communicator, both verbal and written, organized with effective time management skills, demonstrating a willingness to learn and adapt, with the highest standards of behavior, detail orientation, collaborative manner, and work ethic. The schedule for this position requires weekday as well as occasional weekend and evening hours to manage volunteer group activities, committee meetings and events to benefit the organization.
Duties and Responsibilities Volunteer Management Duties: • Recruits, screens, interviews and trains new volunteers. Provides ongoing training and supervision of preexisting volunteers, ensuring that volunteers are given appropriate training to be successful in their positions. • Ensures volunteers are recruited and trained to meet the needs of all departments of Big Bend Cares and Care Point. • Works with volunteers individually and in small groups. Assesses experience, skills and limitations of volunteers to successfully engage them in meaningful volunteer service. • Flexibility to ensure weekend events and agency needs are covered either by staff or volunteers. • Orients, trains, coaches, motivates, measures and evaluates volunteers in accordance with organizational policies, procedures and programs. Orients volunteers to increase their understanding of the organization, its clients, its services and the role and responsibilities of volunteers. • Conducts frequent volunteer orientation sessions and develops volunteer training tools and curriculums as needed. • Acts as liaison between volunteers and the agency to ensure that staff are prepared for arrival of volunteer groups and that all necessary tools, resources, and materials are readily available and that all affected staff understand details and expectations. • Ensures that volunteer policies and procedures are followed, and records of volunteer hours are maintained according to established procedures. • Assists with conflict resolution among clients, staff, and volunteers according to established procedures. • Plans and implements quarterly volunteer recognition activities to recognize the contribution of volunteers to the organization. • Creates and maintains volunteer files which track individual applications, background checks, and other paperwork related to their ongoing participation in the organization’s volunteer opportunities. • Ensures that volunteers hours are used productively, and projects are completed in a timely manner. • Maintains volunteer calendar, arranging schedules for different departments and activities where volunteers are utilized. Ensures coverage of vacancies in key stations when volunteers do not show up or are unavailable. • Completes monthly reporting summaries of volunteer hours and project status.
Event Duties • Leads the planning, implementation and logistical support for Big Bend Cares and Care Point events including the AIDS Walk, Artopia, and Holiday Angels, as well as client appreciation events for the Holidays. • Arranges and organizes in cooperation with Client Services Department the client’s needs for the Holiday Angels program. • Ensures with assistance from CDO and CEO that event sponsorship goals and budgets are met. • Works closely with CDO to assess the volunteer needs for each event. Screens volunteers based on experience and skill level and ensures that each volunteer is thoroughly trained and provided with all the tools necessary to complete the assigned task(s). • Implements best practices for event revenue and participation growth; drives and encourages creativity and innovation at the event level. • Involves the community to drive increased event participation amongst community stakeholders, event sponsors, partnering agencies, donors and participants.
Social Media, Communication and Website Management • Manages social media accounts including, but not limited to, Facebook, Twitter, Instagram, and YouTube. • Must have experience working with WordPress and Adobe InDesign. • Makes regular posts and maintain social media presence for Big Bend Cares, Inc. • Updates website, programs, and volunteer information on Big Bend Cares website. Inform CDO of any website issues. • Promotes Big Bend Cares, Inc., its activities, and events in digital, social, print and broadcast media. • Manages all grant required social media posts and general social media posts for Big Bend Cares, Inc. • Coordinates production and distribution of monthly staff e-newsletter as well as monthly community e-newsletter.
General Duties • Attends monthly networking events with the objective of further developing community partnerships and improving quality of programs leading to an increase in donors, volunteers, and sponsors. • Participates in all-staff meetings. • Other duties as assigned.
Qualifications and Requirements • Bachelor’s degree in social sciences, public relations, communication, or related field. • Three (3) years job-related experience, such as working in a non-profit, managing volunteer programs, leading teams and/or organizations. • Knowledge of management principles and evaluation techniques related to programs that involve a cadre of volunteers. • Knowledge of HIV disease, social services procedures, services in the community and volunteer coordination is preferred. • Excellent written and verbal communication, presentation and interpersonal skills. • Able to work successfully in a diverse team environment. • Demonstrated ability in handling multiple priorities, project management and meeting deadlines, strong planning and organizational skills. • Strong customer/client service orientation. • Proficient in computer-based website, social media, office productivity and publishing programs. • Must have experience working with WordPress and Adobe InDesign.
